This personal data includes:

  • Contact information: First and last name, address, date of birth, gender, nationality, academic title, status (student/alumnus), university affiliation, email, phone number, portrait photo.
  • Login details: Username, password, and specific user identification.
  • Personal data: Registration history, payment details (USI never directly requests credit card information).
  • Images, photos, and videos.
  • Personal preferences, including cookie settings.
During interactions with our pages, certain data is automatically collected by your device or web browser. Further details about these processes are outlined in the “Cookies” section below.

This data includes:

  • Network address and cookies, IP addresses, referrer headers, data identifying your web browser and its version, as well as web beacons and tags.

Children and Adolescents

The USI services are intended exclusively for individuals within specified groups. Remaining spots are allocated to other individuals aged 18 and older. Children and adolescents can only participate in specially designated courses with registration by a parent. Participation in other courses is prohibited for children and adolescents.

WHY and HOW do we use your personal data?

We use your personal data in the following ways:

To provide the functions of the pages and services you request:
When you use our pages, we will use your personal data to deliver the requested product or service. For example, if you register on usi.aau.at or participate in an event, we will use the contact information you provide to communicate with you regarding the registration, rental, or event. If you contact the Secretariat, we will use information about you, such as your payment status and course registrations, to resolve issues or answer questions.

To communicate information about our courses, camps, course programs, services, competitions, and promotional purposes of our partners:
If you are already a USI customer (e.g., you have registered with us), we may use your contact information to provide you with updates about courses, camps, course programs, services, competitions, and promotional offers from our partners.

To operate, improve, and maintain our business, products, and services:
We use the personal data you provide to manage our business. For example, if you register, we use this information for accounting, examination administration, and other internal functions. We may also use data about how you interact with our products or services to enhance your user experience, identify technical and performance-related issues, and manage our pages.

To protect our rights, property, and safety or the rights, property, and safety of third parties:
We may use your personal data about how you use our pages to prevent or detect fraud, abuse, illegal use, or violations of our terms of use and to comply with court orders, government requirements, or applicable laws.

For general research and analysis purposes:
We use data on how visitors interact with our pages and services to understand consumer behavior and preferences. For instance, we may analyze information about how visitors search for and find events on usi.aau.at to improve the organization and presentation of our offerings.

Other purposes:
We may use your personal data for other purposes and will notify you at the time of collection and obtain your consent where required.

Legal basis:
To process your personal data, we rely on specific legal grounds depending on how you interact with our pages. For instance, when you register for our courses or events, we need your personal data to fulfill our contract with you.

Sharing Your Personal Data

The USI shares your personal data with:

  • USI course instructors receive a participant list to carry out the respective course. This list includes first and last name, photo, phone number, and email address.
  • For courses that involve overnight stays, contact details are shared by the course instructor with the respective accommodation provider for reservation or billing purposes.
  • Other entities for the purposes outlined above (e.g., fulfillment of a contract) and under the conditions described above.
  • Third-party service providers who process personal data for the USI, such as handling credit card payments and other transactions, conducting events (e.g., time measurements), collecting, managing, and maintaining data, distributing emails, conducting research and analysis, and managing other services and functions. Agreements with third-party providers include appropriate technical and organizational measures to protect your personal data.
  • Other third parties, as necessary, to (i) comply with a governmental request, court order, or legal regulations, (ii) prevent illegal use of the pages or violations of our terms of use, (iii) defend us against third-party claims, and (iv) assist in fraud prevention or investigations (e.g., counterfeiting).
  • Any other third parties to whom you have given your consent.

PROTECTION and MANAGEMENT of Your Personal Data

Encryption and Security
We use a variety of technical and organizational security measures, such as encryption and authentication tools, to ensure the security of your personal data.

Storage of Your Personal Data
Your personal data will be stored for as long as necessary to fulfill the purposes outlined in this privacy policy (unless a longer retention period is required by law). Generally, this means we will retain your personal data for as long as you maintain your USI account or as long as necessary to comply with contract-related data retention requirements. Personal data related to payment transactions will be retained longer to fulfill legal obligations (e.g., tax regulations).

Your Rights Regarding Your Personal Data
You have the right to (i) request access to your personal data; (ii) request an electronic copy of your personal data (portability); (iii) request the correction of your personal data if it is incomplete or inaccurate; or (iv) request the deletion or restriction of your personal data under certain circumstances as provided by applicable law. These rights are not unlimited. If we have obtained your consent to process your personal data, you have the right to withdraw your consent at any time. If you would like to request a copy of your personal data or exercise other rights, please contact us at usi [at] aau [dot] at

If the deletion of personal data is requested, the future use of the entire USI offering will no longer be possible.

COOKIES

The USI collects information that may include personal data from your browser when you use our pages. We use cookies and Google Analytics to collect this information, which may include:

  • Your IP address.
  • The specific cookie identifier, cookie information, and whether your device has the relevant software to use certain functions.
  • The domain, browser type, and language used.
  • Operating system and system settings.

Third parties may also collect information through cookies or plug-ins and widgets from their services. These third parties collect data directly from your web browser, and the processing of this data is subject to their respective privacy policies.

We use cookies to understand how our customers use our pages and to identify their preferred settings (e.g., country and language preferences). This allows us to provide services and enhance their online experience. Additionally, we use cookies to gather aggregate data on site usage and interactions, enabling us to identify trends and collect statistics to improve our pages.

The cookies we use on our pages can generally be categorized into the following three types:

Functional: These cookies are essential for the basic functionality of the page and are always active. They enable us to recognize you during a single session or, if you wish, across multiple sessions. They allow for processing shopping cart functions, payment transactions, addressing security concerns, and complying with legal requirements.

Performance-related: These cookies allow us to improve the functionality of our pages by understanding user behavior. In some cases, these cookies can enhance the speed of processing your requests and help remember your selected page settings. Refusing these cookies may cause the page to respond more slowly.

If you want a comprehensive and up-to-date overview of all third-party access to your web browser (via Rennviech pages or others), we recommend installing a browser plug-in designed for this purpose. You can also set your computer to warn you each time cookies are sent. Alternatively, you can disable all cookies by changing the browser settings on each browser and device you use. Since each browser is slightly different, consult the Help menu of your browser to learn how to modify your cookie settings. Disabling cookies may limit access to many features that make pages more efficient and may prevent some of our services from functioning properly.

Our pages and apps may contain links to other websites and apps (third-party) for your convenience or information. Linked pages and apps have their own privacy policies or guidelines, which you should review. As these linked websites and apps are not owned or controlled by us, we are not responsible for their content, use, or privacy policies.

Online and Hybrid Courses

Image and audio recordings are made during online and hybrid courses. For digital participation, each participant decides whether to enable their camera or microphone. Participation without enabling these features, as a listener only, is possible.

In hybrid courses held in person, a marked area is covered by the camera and recorded. Additionally, reflections or incidental camera coverage may occur outside this area. If recording is not desired, participants should inform the course instructor when attending in person and take the assigned seat in the side area that is not captured by the camera. Participation without being recorded is possible in this designated area.

Further recording, use, or distribution of participants’ recordings beyond this is not permitted and may result in legal consequences.

Recorded sessions are available “on demand” during the current semester and are deleted at the end of each semester.

CHANGES to Our Privacy Policy

Applicable laws and our business practices may change from time to time. If we update our privacy policy, we will publish the changes on our pages. If we significantly change the way we process your personal data, we will inform you in advance. Where legally required, we will obtain your consent before implementing such changes.

We strongly recommend that you read our privacy policy and stay informed about our practices. This privacy policy was last updated in February 2021.

QUESTIONS and Feedback
We welcome questions, comments, and concerns regarding our privacy policy and data protection practices. If you wish to provide feedback, have questions or concerns, or wish to exercise your rights regarding your personal data, please contact our customer service or data protection officer at: usi [at] aau [dot] at. If you contact us with a data protection complaint, it will be handled with the aim of resolving the issue as quickly and effectively as possible.

The USI uses the AAU mail server to manage and send newsletters and important information about events. This includes information directly related to participation in specific events.
